Assigning Customized Permissions in Tableau Server

Customized Permissions:-

1.Only the HR Manager should be able to see all the materials from the IT department.
2.Only IT and Operations users should be able to publish new materials.
3.Only the Sales and Operations users should share the ability to connect to the Coffee    Chain data source. The other users should not know that the data source exists.
4.Only the IT manager should be able to publish in all locations. No other  manager       should have the option to publish.
5.The Facilities department should be able to see everything from the Billing department, but Billing cannot see anything from the Facilities department.
6.Only the Facilities, Billing and IT users share the ability to connect to the COGS data source. The other users should not know that the data source exists.

Steps:-
1.Only the HR Manager should be able to see all the materials from the IT department.
1.     Click on the Content section and Projects subsection of the toolbar
2.     Select "IT Project” project and click the “…” button
3.     Select the “Permissions” option
4.     Click the “+ Add a user or group rule” text
5.     Select the “HR Manager” option from the drop-down menu 
6.     Click the new permissions drop-down
7.     Select the “Viewer” option from the drop-down menu 
8.     Click the “Save” button 
9.     Click the “Assign Permissions to Contents” button 
10.     Click the “Assign Permissions” button 
11.     Once the “Permissions assigned to contents” pop-up appears, click the “X” button 

      2.Only IT and Operations users should be able to publish new   materials. 

              1.   Click on the Users section of the toolbar
2.   Check mark all of the non-IT and non-Operations users
3.   Click the “Actions” button
4.   Select the “Sites Role” option


5.   Click the Site Role drop-down
6.   Select the “Interactor” option from the drop-down
7.   Click the “Change Site Role (12)” button



         3.Only the Sales and Operations users should share the ability to connect to the                Coffee Chain data source. The other users should not know that the data source               exists.

           1.    Click on the Content section and Projects subsection of the toolbar
           2.     Select the “Data Sources Project”

3.     Click the “Data Sources” tab
4.     Locate the “Coffee Chain” data source and click the “…” button
5.     Select the “Permissions” option

6.     Click the “+ Add a user or group rule”
7.     Locate the “Sales Users” group

8.     Click the new permissions drop-down
9.     Select the “Data Source Connector” option from the drop-down

10.     Click the “Save” button

11.     Repeat steps 6-10 for the Operations users
12.     Hover over the “All Users (32)” group rule and click the pencil icon

13.     Click the permissions drop-down
14.     Select the “None” option from the drop-down

15.     Click the “Delete” button

         
4.Only the IT manager should be able to publish in all locations. No other                          manager should have the option to publish.

                1.    Click on the Content section and Projects subsection of the toolbar
2.     Locate the first non-IT project – Billing Project and click the “…” button
3.     Select the “Permissions” option

4.     Locate the “IT Manager” group permission rule
5.     Click the pencil icon that appears when hovering over the “IT Manager” group permission rule


6.     Click the permissions drop-down
7.     Select the “Publisher” option

8.     Click the “Save” button

9.     Click the “Assign Permissions to Contents” button


10.Click the “Assign Permissions” button

11.     Once you see a “Permissions assigned to contents” pop-up, click the “X” button

12.     Repeat steps 2-11 for the other non-IT department projects

         
     5.The Facilities department should be able to see everything from the Billing                    department, but Billing cannot see anything from the Facilities department.
1.     Click on the Content section and Projects subsection of the toolbar
2.     Locate the first non-IT project – Billing Project and click the “…” button
3.     Select the “Permissions” option

4.Locate the “Facilities Users” group permissions rule
5.Click the pencil icon that appears when hovering over the “Facilities Users” group permission rule




 6.Click the permissions drop-down
                                          7.Select the “Viewer” option

8.     Click the “Save” button
9.     Click the “Assign Permissions to Contents” button
10.     Click the “Assign Permissions” button


11.Once you see a “Permissions assigned to contents” pop-up, click the “X” button

      1.     Click on the Content section and Projects subsection of the toolbar
      2.     Select the “Data Sources Project”

3.     Click the “Data Sources” tab
4.     Locate the “COGS” data source and click the “…” button
5.     Select the “Permissions” option
6.      Click the “+ Add a user or group rule”
7.      Locate the “Facilities Users” group

8.     Click the new permissions drop-down
9.     Select the “Data Source Editor” option from the drop-down

10.     Click the “Save” button

11.     Repeat steps 6-10 for the Billing and IT users
12.     Hover over the “All Users (32)” group rule and click the pencil icon

13.     Click the permissions drop-down
14.     Select the “None” option from the drop-down

15.     Click the “Delete” button
